Before you begin
- Your role includes General settings.
- Open Settings > Notifications in the admin sidebar. Open Staff notifications, then the template you want to edit.
Edit a staff notification template
From the admin, open Settings, then Notifications, then Staff notifications, and select the notification you want to edit. This example opens New order. The editor shows the template's controls across the top, its Email subject, and an Email body preview below.
- Review the email subject. The Email subject is the line staff see in their inbox, and it can include placeholders. On the New order template it reads "New order" with the order-number placeholder and the order-total placeholder, so the alert names the order and its value without opening the template. A subject like this helps your team triage the alert quickly.
- Review the email body. Below the subject, the Email body shows a live preview of the email. The New order default announces that a new order has been placed and lists an order-details block with the order number, customer, total, and date, followed by a link to view the order in the admin. A note under the preview explains that the placeholders are replaced with each event's real data when the email is sent.
- Change the content. Use the buttons across the top to shape the email. Reset to Default returns the template to the standard version if a change goes wrong. Generate with AI drafts the content for you as a starting point. Edit Code opens the template's underlying code so you can adjust the layout and wording directly. Keep the placeholders in place so each alert still carries the right event's details.
- Send a test. Before you rely on the template, select Send Test Email to send yourself a copy and confirm the subject and body read clearly and render correctly. Checking a test first means your team never receives a broken or confusing alert.
Best practices
- Send a test before you rely on it. A test copy shows exactly what your team will receive, so you catch problems before a real event does.
- Keep the alert short. Staff act on these quickly, so a clear subject and a short body get read.
- Keep the placeholders intact. They fill in each event's order number, customer, and total, so removing them loses that detail.
- Reset if a change goes wrong. Reset to Default brings back the standard template so you can start over.
If something goes wrong
- A placeholder shows as plain text in a real alert. The placeholder syntax was likely broken. Use Edit Code to fix it, or Reset to Default to restore the template.
- The test email does not arrive. Check that your sender email is set up on the Notifications page, then try Send Test Email again.
- You cannot edit the template. Your role may not allow managing settings. Ask an owner or admin.
