Bulk Mark Orders as Fulfilled
When you have shipped several orders at once, you can set them all to Fulfilled together instead of opening each one. On the Orders list you select the orders, open the Mark as menu in the bulk action bar, and choose Mark as fulfilled, which moves every selected order to the Fulfilled status. This is useful at the end of a packing session or when a batch of orders goes out together. This article walks through selecting orders and marking them fulfilled in one action.
On this page
When you have shipped several orders at once, marking them all as fulfilled together saves opening each order on its own. You select the orders on the Orders list, then use Mark as in the bulk action bar and choose Mark as fulfilled. A short window confirms the change and lets you email the customer, then each selected order moves to the Fulfilled status. This is handy at the end of a packing session or when a batch ships together. This article walks through it.
You do this on the Orders list, reached from Orders.
The bulk action bar
Selecting one or more orders on the list shows a bulk action bar along the top with actions that apply to all the selected orders. Alongside Mark as, the bar has Print, Create shipping labels, and Capture payment.
The Mark as menu sets the fulfillment status of the selected orders. It lists Unfulfilled, In progress, Mark as fulfilled, Delivered, and On hold.
Before you begin
- Your role includes Edit orders.
- Open Orders and select the orders that have shipped.
Steps
1. Open the Orders list
Go to Orders > Overview to open the list of orders.
2. Select the orders to fulfill
Tick the checkbox at the start of each order's row (1) to select it. The checkbox in the header row selects every order on the page at once, so you can select all and then clear any you do not want. As soon as one order is selected, the bulk action bar appears.
3. Open the Mark as menu
In the bulk action bar, select Mark as. A menu opens with the fulfillment statuses.
4. Choose Mark as fulfilled
Select Mark as fulfilled (2). A confirmation window opens.
5. Confirm in the window
The window reads Mark N orders as fulfilled and has a Send a notification to the customer checkbox, which is on by default. Leave it on to email the customer that their order is on its way, or clear it to fulfill without emailing. Select Mark as fulfilled to confirm, or Cancel to stop.
What happens when you confirm
Confirming applies these changes to each selected order:
- The order moves to the Fulfilled status, and its timeline records that the items were fulfilled.
- If Send a notification to the customer was on, the customer is emailed and the timeline logs that the email was sent, with an option to resend it.
- The order is archived, which removes it from the open Orders list. You can find it under the Archived view, and reopen it with Unarchive order in the order's More actions menu.
Adding tracking
The bulk Mark as fulfilled sets the status but does not add a tracking number, since a tracking number belongs to a single shipment. To give the customer a tracking number, open the order and use Add a Tracking Number, or buy the postage with Buy a Shipping Label.
Best practices
- Select only orders that have actually shipped, so the Fulfilled status matches what has left your hands.
- Use the header checkbox with care, since it selects every order on the page, including ones you may not mean to fulfill.
- Add tracking on the orders that need it after marking them fulfilled, so customers can follow their parcels.
Common mistakes
- Selecting the wrong orders, for example including an unpaid or canceled order in the batch.
- Expecting a tracking number from the bulk action, which only sets the status. Add tracking per order.
- Marking orders fulfilled before they ship, which tells customers their order is on the way when it is not.
