Order ID format controls how your order numbers read. You add an optional prefix and suffix around the order number, and a live example shows the result as you type. Setting it gives your orders a consistent, recognizable format wherever they appear, and reads more like your brand than a bare number. You find it in Settings, then General, in the Order ID format section.
What you can set
| Control | What it does |
|---|---|
| Prefix | Text placed before the order number |
| Suffix | Text placed after the order number |
| Example | A live preview of how an order ID will look |
| Reset to default | Returns the format to the standard one |
Before you begin
- Your role includes General settings.
- Open Settings > General in the admin sidebar. The order ID format sits with your store-wide defaults.
Set your order ID format
From the admin, open Settings, then General, and scroll to Order ID format. It holds the Prefix field (1), the Suffix field (2), a live Example of the result (3), and a Reset to default button (4).
- Add a prefix. The Prefix field (1) holds text placed before the order number. It is empty here, shown by the grey placeholder ORDER, which is only a hint rather than a set value. Enter a short prefix, such as your brand's initials, so orders read as yours on sight.
- Add a suffix. The Suffix field (2) holds text placed after the order number. It is empty here too, with the placeholder 2026 as a hint. Add a suffix when you want a trailing code, for example a year, or leave it blank if the prefix and number are enough.
- Check the example. The Example (3) shows how an order ID will look and updates as you type. With no prefix or suffix set, it shows just the order number, here 1001. As you add a prefix or a suffix, they appear around that number, so you can confirm the format reads the way you want before saving.
- Reset if you need to. Reset to default (4) returns the format to the standard one. Use it to undo your changes quickly if a prefix or suffix does not read the way you expected.
- Save your changes. When you edit the prefix or suffix, an unsaved-changes bar appears at the top of the General page with Save and Discard, the same bar used for the other defaults. Select Save to apply the format so it shapes how new order numbers are displayed.
Best practices
- Keep the prefix short and recognizable. Brand initials read well and stay readable in emails and receipts.
- Do not change the format often. People reference orders by their number, so a stable format avoids confusion.
- Use the example before saving. The live preview confirms the result so you do not save a format that reads wrong.
- Tell whoever handles accounting. If they refer to orders by their number, let them know before you change the format.
If something goes wrong
- The example does not change. It updates as you type, so make sure you edited the Prefix or Suffix field.
- New orders still use the old format. Confirm you selected Save in the unsaved-changes bar rather than leaving the page.
- You cannot edit the fields. Your role may not allow managing settings. Ask an owner or admin.
