Editing Customer Information
A customer record is edited in several places, and this is the map of which is which. The Edit menu on the Customer panel holds the five forms for what the customer told you; tags, notes, store credit, metafields, merging and deletion each have their own control elsewhere on the page; and the figures at the top are worked out from the orders and cannot be edited at all.
On this page
A customer record is edited in more than one place, and knowing which is which saves hunting for a control that was never in the menu you opened. The Edit control on the Customer panel covers most of what the customer told you about themselves. Everything else on the record has a control of its own, and a few of the numbers cannot be edited at all.
This article is the map. Edit a Customer Record walks the forms behind the Edit menu, field by field.
What the Edit menu holds
| Menu entry | What it changes |
|---|---|
| Edit contact information | Name, email, phone number and notification language |
| Manage addresses | Every saved address, and which one is the default |
| Edit marketing settings | Consent for Email, SMS and WhatsApp, separately |
| Edit tax details | Whether tax is collected, and any exemptions |
| Add to company | Which company the customer belongs to, and which locations |
Two of those are easy to get wrong from memory. The menu holds five entries, and marketing consent covers three channels rather than two.
What is not in the Edit menu
These sit on the same page but carry their own controls, which is why the Edit menu looks as though it is missing them.
| To change | Where it is | Covered in |
|---|---|---|
| Tags | The Tags card, using its own selector | Tag a Customer |
| An internal note | Two places take one: the Notes card in the right column, and the Post box on the timeline | Customer Notes |
| Store credit | The Store credit card, or More actions, then Issue store credit | Store Credit |
| Metafields | The Metafields card, using View all or Add definition | No article covers these yet |
| Merging two records | More actions, then Merge Customer | Merge Customers |
| A privacy request | More actions, which holds Request customer data and Erase personal data | Handle Customer Privacy Requests |
| Deleting the record | More actions, then Delete Customer, which is separate from the privacy entries above | Delete a Customer |
The dividing line is roughly this: the Edit menu holds what the customer told you, and the controls on the page hold what you decided about them. Their email and address came from them; a tag, a note or a credit came from you. Add to company is the exception, which is why it is worth knowing it sits in the menu rather than with the other decisions.
Two of these are easy to confuse. The Notes card and the timeline's Post box both take text about the customer and sit on the same page, so check which one you are typing into before you rely on finding it again. Neither is a tag: if what you are recording will be true of other customers too, tag them instead, because a note cannot be used to pull up a group.
What cannot be changed here at all
Some of what the page shows is worked out rather than entered, so there is no control to open.
- Amount Spent and Orders come from the orders on the record.
- Customer since is when the record began.
- RFM group, the band the store sorts buyers into from how recently and how often they buy, moves on its own as they buy or stop buying.
If one of these looks wrong, the answer is in the orders behind it rather than on this page, and editing the customer will not shift it.
Deciding where to go
Ask which kind of change it is before you open anything. If you are correcting something the customer told you, it is in the Edit menu. If you are recording something you decided about them, it has its own control on the page. If it is a number at the top of the record, it is not editable.
Getting that right first is quicker than opening the Edit menu, not finding tags in it, and concluding the feature is missing.
Whichever control you use, the card behind it shows the new value as soon as it saves, and that is the check worth making before you move on. If the value has not moved, nothing was written, and an empty required field is the usual reason.
If something goes wrong
- A change will not save. Your role may lack Edit customers, or a required field in the dialog is empty.
- You cannot find the field at all. Check the second table above; it is probably one of the things outside the Edit menu.
- A figure looks wrong and has no control. It is derived rather than entered, so the orders behind it are where to look.
